Accounting & Administrative Coordinator (Temporary)

Position Summary
To support the Operations Department with administration, bookkeeping, compliance activities and general
day-to-day operations of the Branson Centre and its entrepreneurs.

Key Responsibilities
Key responsibilities of the Accounting & Administrative Coordinator will include, but are not
limited to:

Financial Administration

  •  Prepare purchase orders, sales orders, invoices, expense reports and other financial
    payment documents using the companies accounting software
  • Code and file all material according to established records management procedures
  • Process accounts payables and receivables ensuring timeliness and accuracy of information
  • Prepare accurate bank reconciliations and deposits
  • Confirm reconciliation of receipts to lodgements and reconciliation of banking activity for
    all operating bank accounts
  • Manage petty cash as well as end of month duties including monthly management reports to BCoEC management team to Virgin Unite

Office Administration:

  • Use computer word processing, spreadsheet, and database software to prepare reports,
    memos, and documents, as required
  • Receive all incoming correspondences (phone, electronic and post) and respond promptly
    and in a professional & courteous manner
  • Respond directly to all general enquiries and forward appropriate correspondence to
    appropriate team members to action
  • Manage the inventory and ordering of kitchen & office supplies inventory
  • Coordinate the maintenance of the Centre’s facilities
  • Greet clients/suppliers/visitors to the Centre in a professional and friendly manner
  • Assist the centre in its transition to a paperless office through the scanning and proper filing
    of all documents
  • Coordinate travel arrangements for team members, as required
  • Support in event coordination, including managing RSVPs, preparation and packing of
    event items etc.

Operations Support:

  • Provide project management and due diligence support to the Operations Manager as
    needed
  • Provide support in the maintenance of any relevant handbooks, SLAs, SOPs etc. to
    streamline and improve operations and coordinate the input of the team towards
    completion.
  • Administer schedules for vacation leave and remote working among team members

Compliance:

  • Manage compliance activities for proper internal corporate governance and ensure all
    Directors’ files are up to date.
  • Manage compliance activities as it relates to Companies Office of Jamaica and Tax
    Administration of Jamaica, including the filing of Special Resolutions, Notices of Changes
    of Directors, Annual Returns, etc.
  • Manage compliance activities as it relates to the Department of Cooperative and Friendly
    Societies including Fit & Proper Questionnaire, Annual Returns etc.
  • Coordinate with audit partner for the on-time preparation and filing of the Centre’s annual
    audit.

Qualifications:

  • At least two (2) years of experience working in an administrative and bookkeeping support
    role with demonstrated responsibilities
  • Strong computer skills with a high proficiency in the Microsoft Suite of Products (Word,
    Excel, PowerPoint etc.) and Google (Google Docs, Sheets, Forms etc.)
  • Sound knowledge of the Quickbooks software and/or cloud-based accounting
  • A desire as well as the ability to learn new systems quickly and use bookkeeping skills as
    they relate to a Non-Profit or Charitable organization
